Cache: (ˈkash ) 1. a computer memory with very short access time used for storage of frequently or recently used instructions or data -called also cache memory 2.a: a hiding place especially for concealing and preserving provisions or implements b: a secure place of storage ex: My email is slow it must be the cache. I better Archive my email so it will run faster.

Tech Tip: Setting up Auto Archive in Outlook


The What? Why? How?
How to set up AutoArchive for your email and how to Force an Archive
Why: To provide Outlook with more memory (or Cache) so it will operate more efficiently and faster
How To:
1.Use your mouse to select your Inbox.
2.With the Inbox selected, go to the toolbar and click Tools > Options...
3.Click the "Other" tab.
4.Click the AutoArchive button.
5.On the next configuration screen, choose the following items:
Run AutoArchive every
Delete expired items
Archive or delete old items
Show archive folder in list
Move old items to: C:\Exchange\2008_archive.pst

6.Click OK, the click it again on the options screen.
7.You can double check your archive settings by right-clicking each outlook folder, then clicking Properties. Click the AutoArchive tab. You can manually set the policy for that particular folder or you can let the above settings work as the default.

Service Portal: ( sir-vis * poort-uhl) 1. a site serving as a guide or point of entry to the World Wide Web and usually including a search engine or a collection of links to other sites arranged especially by topic  2. XOGENT's new communication link which allows customers to enter and manage service tickets and requests. ex: You should email support for your service portal login and check out all the cool things it can do!
 

Tech Tip: Utilizing the Service Portal


The What? Why? How? How to Utilize the Customer Portal   
 
Why: To simplify, monitor and control your IT service requests. How To: The first step is to request your Service Portal Login and password.  This is done by sending a request to support@xogent.com.  Once you obtain your login you go to the support website: http://support.xogent.com.  Inside the service portal you may enter a new service request.  We recommend using the service portal to enter your service requests.  By doing so, your request is processed faster and we can triage your problem and assign the appropriate resources quickly.  You don't have to send an email to support anymore, just login and enter the service ticket from your Portal!

Archiving Outlook Briefly

If you are like me when it comes to Technology, listening to an engineer is like listen to someone speak a foreign language. In order to bridge the techie language barrier, I asked our Technology Gurus to define some of their jargon. Each month we will attempt to define some of these words and phrases as well as offer advice and tips to common issues. Enjoy!

Budr: (bud-der) - acronym which stands for Backup Disaster Recovery. 1: a copy of computer data (as a file or the contents of a hard drive) to insure its safety in case of a catastrophic event.
"Our server crashed but we aren't worried because XOGENT set up BUDR for us."

The What? Why? How?
Email Archiving.

Have you received one of those System messages telling you that your mailbox has reached its limit? You don't want to delete those old emails "just in case". Archiving is the answer! Archiving will fend off those pesty system messages and can free up space on your Exchange or Email server. This will help your network to run smoothly. Just follow these simple steps and you are on your way to a better Archived future.

1. Use your mouse to select your Inbox.
2. With the Inbox selected, go to the toolbar and click File > Archive
3. When the Archive window opens, select a date for the system to archive files (For example, if you want to archive all e-mails that were sent to you on or before the first of October, 2007 so you would select 10/01/2007 as the cutoff date for the archive).
4. Check again to be sure your Inbox is selected in the Archive window. If you have subfolders underneath the Inbox that you also want to back up, select Archive this folder and all subfolders: from the top of the Archive window.
5. At the bottom of the Archive window, take note of the path directly below Archive file: This is the location your archive will store to. You may choose a different a location to store your archive to. It is recommended you choose a network location, such as a personal P:\ drive or other network share (do not save the file to your local C:\ drive). When you push OK, the archiving will begin.
