    Many of the State Bar Associations have issued opinions regarding the responsibilities of lawyers in regard to storing confidential client documents and information in the cloud. Almost all of the opinions are similar. The first step in making sure that your client data is protected is making sure that your data is isolated from every other user’s data. That’s where Private Cloud for Lawyers comes in. Private Cloud for Lawyers is a cloud server environment that is isolated, protected, encrypted, and backed up. We configure your environment to adhere to our (and Microsoft’s) best practices for security.

    Security

    All State Bar Associations require that you use due care to keep client confidential information secure and private. All of our solutions include following both Microsoft’s and our own best practices for security. If you move to the cloud, you’re probably going to end up more secure than you were when you had the equipment in your own server closet since we lock down and monitor both local and remote access. The level of security in the cloud is stays higher in the Cloud, because when a server is on-premise most IT companies tend to ignore security protocols. If you stay on-premise with your server, then we help you adhere to the security standards that exceed any State Bar requirement.

    Document Management

    Most attorneys do not use document management software. For some it was the cost, for others it was that they didn’t know or weren’t familiar with what was available. If you haven’t been using document management software, you have been missing out on one of the best tools of the 21st century. Not only can document management handle document versioning, file check-in and check-out, and accidental deletion, but it also handles document indexing so that you can search any set of documents or all documents for words even in the document itself in seconds. It’s like Google for all of your work documents. In addition, it allows you to sync those files, securely, whether online or offline.

    Reporting

    Keeping informed about your network infrastructure services two purposes – 1) it fulfills part of your duty of keeping your client data protected, and 2) it provides accountability from your IT company. We provide regular monthly reporting about all the critical access points to your network so you know who is accessing your data and when. We can also create custom real-time reports to let you know if someone is attempting to access your data at night or from unauthorized locations.

    Local & Cloud Backup

    In most offices there should be at least two types of backups:

    Data Only – This type of backup only saves data (e.g., files or databases). Usually these backups retain file changes going back months or years.

    Full Image – This type of backup saves a full copy of an entire server or computer. It creates a byte for byte image of the entire server for easy recovery if there is a catastrophic crash.

    Sometimes you only need to backup data. Sometimes you need every byte. You always need your backups in multiple locations. So, first you need to decide what it is you need to backup. It usually helps to figure out how quickly you need to be back up and running. We take care of it for you.
